Privacy policy
Last updated 6 October 2026.
This policy explains what personal information we collect when you visit brand-studio.co, get in touch, pay a deposit or use your studio at app.brand-studio.co, what we do with it, and your rights.
Who we are
BrandStudio is run by Studio This Limited, a company registered in England and Wales (company number 14859305, VAT number GB439917255), whose registered office is at 30–38 Dock Street, Leeds LS10 1JF ("Studio This", "we", "us"). We're the controller of the personal information described here, and we're registered with the Information Commissioner's Office (ICO) under number ZB720354.
For anything about your information, email hello@brand-studio.co.
What we collect and why
When you visit this website
We count visits with ClearView, our own analytics. It records the page you're on, the website that sent you, whether you're on a phone, tablet or computer, any campaign tags in the link, how long you stayed, and the main things you do, such as opening the demo, using the calculators or booking a call. Your IP address is used, but not stored, to work out your country and to make a code that lets us count unique visitors for one day; the code changes every day, so it can't follow you from one day to the next. If your browser sends a "Do Not Track" signal, nothing is recorded.
Legal basis: our legitimate interest in understanding how the website is used, so we can improve it.
When you get in touch or book a call
Your name, email address and company, your message if you use our contact form, the package you priced in the calculator, and the page you were on. We use them to reply, arrange your call and prepare a quote. They're stored in HubSpot, our customer relationship system, and the call goes into our calendar.
Legal basis: taking steps at your request before a contract, and our legitimate interest in answering enquiries.
When you pay a deposit or subscribe
Payments are handled by Stripe. You enter your card details on Stripe's page, and we never see or store them. We receive your name, email address, company, what you paid for and the payment's status, and we keep invoices and payment records.
Legal basis: performing our contract with you, and our legal obligation to keep accounting records.
When you use your studio
- Your account: your name, email address and the organisation you belong to. Sign-in is handled by Clerk, which stores your account.
- What you make: the text you type and the photos and videos you upload are sent to our server only to make your export. Uploads are deleted as soon as the export is made, and we don't keep copies of the finished posts.
- Usage records: when you export, our server records who exported, for which organisation, with which template and format, and when. We also keep a monthly count of exports for each organisation, which we use to run fair-use limits and to understand how the studio is used.
- Security: we use IP addresses briefly to limit repeated requests and protect the service from abuse.
Legal basis: performing our contract with your organisation, and our legitimate interest in running a secure, reliable service.
Your organisation decides what goes into its posts. If the photos, videos or text you upload include other people's personal information, we process it on your organisation's behalf, only to make the export.
Brand files
To build your studio we hold your brand guidelines, logos, fonts and example posts. They're usually business information rather than personal information, and they're only ever shown to people in your organisation, unless you agree in writing that we can show your studio publicly.
Who we share it with
We don't sell your information or use it for advertising. We share it only with the services that run BrandStudio, under contracts that require them to protect it:
| Service | What for | Where |
|---|---|---|
| Clerk | Accounts and sign-in | United States |
| Stripe | Payments, subscriptions and invoices | UK, EU and United States |
| HubSpot | Enquiries, contacts and call booking | EU and United States |
| DigitalOcean | Hosting the studio and making exports | London, UK |
| SiteGround | Hosting this website | UK and EU |
Where information goes outside the UK, it's protected by safeguards UK law approves, such as the UK–US data bridge or the ICO's standard contract clauses. Stripe also acts as a controller in its own right for some payment information, for example to prevent fraud; see Stripe's privacy policy.
We may also share information if the law requires it, or with professional advisers such as our accountant.
Cookies
This website doesn't use advertising cookies, and our analytics doesn't use cookies or store anything on your device. The studio uses cookies from Clerk to keep you signed in; these are essential, so they don't need your consent. The studio and the demo also remember on your device that you've seen the tour, so it doesn't open every time. Stripe's payment pages set their own cookies, mainly to prevent fraud.
How long we keep it
- Enquiries: up to two years after we last spoke, unless you become a client.
- Your account: while your organisation uses BrandStudio. After a subscription ends we delete accounts within 12 months, sooner if you ask.
- Invoices and payment records: six years, as UK tax law requires.
- Uploads: deleted as soon as your export is made.
- Server logs: kept only briefly by our hosting provider, then deleted.
- Monthly export counts: the last 12 months.
Your rights
You can ask us to:
- give you a copy of your information
- correct it
- delete it
- limit how we use it, or stop using it where we rely on our legitimate interests
- send it to you or another organisation in a common format
Email hello@brand-studio.co and we'll reply within a month. Some rights have limits: for example, we must keep invoices for six years even if you ask us to delete them.
If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office.
Security
Everything is sent over encrypted connections. Your studio and brand files are only available to people signed in to your organisation, and access to our systems is limited to the people who need it.
Children
BrandStudio is a service for businesses and isn't meant for anyone under 18.
Changes to this policy
If we change this policy we'll update the date at the top, and if the changes are significant we'll email clients before they take effect.
